Terms of Service

By using VoyceBook, you agree to these terms. Please read them carefully before creating an account or using any part of our service.

1. Acceptance of Terms

These Terms of Service ("Terms") constitute a legally binding agreement between you ("User", "you") and VoyceBook ("Company", "we", "us"). By accessing or using the VoyceBook platform — including our web application, APIs, and related services — you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy.

If you are accepting these Terms on behalf of a company or other legal entity, you represent that you have the authority to bind that entity. If you do not agree to these Terms, you must not use the service.

2. Description of Service

VoyceBook is a cloud-based business document management platform designed for Indian businesses. The service enables users to create, manage, and track proposals, contracts, invoices, receipts, and related business documents within a single connected workflow. Features include GST-compliant invoicing, document timelines, team collaboration, approval workflows, payment tracking, and AI-assisted summaries.

We reserve the right to modify, suspend, or discontinue any aspect of the service at any time, with reasonable notice where practicable. We will not be liable to you or any third party for any modification, suspension, or discontinuation.

3. Account Registration

To use VoyceBook you must register for an account. When doing so you agree to:

  • Provide accurate, current, and complete information during registration.
  • Maintain and promptly update your account information to keep it accurate.
  • Keep your password secure and not share it with any third party.
  • Notify us immediately at support@voycebook.com if you suspect unauthorised access to your account.
  • Accept responsibility for all activity that occurs under your account credentials.

You must be at least 18 years old and legally capable of entering into contracts under Indian law to register. Accounts registered by bots or automated methods are not permitted.

4. Subscription & Payment

VoyceBook is offered on a subscription basis. By selecting a paid plan, you authorise us to charge the applicable fees to your chosen payment method on a recurring basis (monthly or annually, as selected).

Payment processing.All payments are processed securely through Razorpay. By making a payment, you also agree to Razorpay's terms of service. VoyceBook does not store your card or bank details.

Billing. Subscriptions renew automatically at the end of each billing cycle. You may cancel auto-renewal at any time from your account settings; cancellation takes effect at the end of the current paid period.

Refund policy. Payments are non-refundable except where required by applicable law or at our sole discretion. If you believe a charge was made in error, contact billing@voycebook.com within 14 days of the charge date.

Taxes. All fees are exclusive of applicable taxes. You are responsible for any GST, service tax, or other taxes applicable to your subscription.

5. Acceptable Use

You may use VoyceBook only for lawful business purposes in accordance with these Terms. You agree not to:

  • Use the service for any illegal purpose or in violation of any applicable law or regulation.
  • Upload, transmit, or store content that is fraudulent, defamatory, obscene, or infringes third-party rights.
  • Attempt to gain unauthorised access to any part of the service or its related systems.
  • Reverse-engineer, decompile, or extract the source code of the platform.
  • Use automated scripts, bots, or crawlers to access the service without prior written consent.
  • Resell, sublicense, or commercially exploit the service without authorisation.
  • Transmit malware, viruses, or any code designed to disrupt or damage the service.
  • Impersonate any person or entity or misrepresent your affiliation with any person or entity.

We reserve the right to investigate suspected violations and suspend or terminate accounts that breach this policy without prior notice.

6. Intellectual Property

Our platform. VoyceBook and all underlying technology, software, design, trademarks, and brand assets are the exclusive intellectual property of the Company and are protected under applicable Indian and international IP law. Nothing in these Terms grants you any ownership interest in the platform.

Your data. You retain full ownership of all documents, data, and content you upload or create within VoyceBook ("User Content"). By using the service, you grant us a limited, non-exclusive, royalty-free licence to store, process, and display your User Content solely to operate and improve the service. We do not claim ownership of your data.

You represent that you have all rights necessary to grant the above licence and that your User Content does not infringe any third-party intellectual property rights.

7. Data & Privacy

Our collection and use of personal data is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using VoyceBook you consent to the practices described in the Privacy Policy.

Your business data — documents, customer records, transactions — belongs to you. We act as a data processor on your behalf. We will not sell, rent, or share your business data with third parties except as described in the Privacy Policy or as required by applicable law.

8. Confidentiality

We treat all User Content and account information as confidential. Our employees and contractors who access your data are bound by confidentiality obligations. We implement industry-standard technical and organisational measures to protect your data from unauthorised access, disclosure, alteration, or destruction.

You acknowledge that transmitting data over the internet carries inherent risks. While we take reasonable steps to secure your data, we cannot guarantee absolute security of information transmitted to or from the platform.

9. Termination

By you. You may cancel your account at any time through your account settings. Cancellation takes effect at the end of the current billing period. You remain responsible for all charges accrued before cancellation.

By us. We may suspend or terminate your account immediately and without notice if we determine, in our sole discretion, that you have violated these Terms, engaged in fraudulent activity, or pose a risk to the platform or other users.

Effect of termination. Upon termination, your right to access the service ceases immediately. We will retain your data for 30 days after the effective termination date, during which time you may request an export. After 30 days, your data may be permanently deleted. Provisions of these Terms that by their nature should survive termination will do so.

10. Limitation of Liability

To the maximum extent permitted by applicable law, VoyceBook and its directors, employees, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages — including but not limited to loss of profits, data, goodwill, or business interruption — arising out of or related to your use of or inability to use the service.

Our aggregate liability for any claim arising out of or related to these Terms or the service shall not exceed the total fees paid by you to VoyceBook in the twelve (12) months immediately preceding the event giving rise to the claim, or INR 5,000, whichever is greater.

Some jurisdictions do not allow the exclusion or limitation of certain warranties or liabilities. In such jurisdictions, our liability shall be limited to the fullest extent permitted by law.

11. Indemnification

You agree to indemnify, defend, and hold harmless VoyceBook, its directors, officers, employees, agents, and licensors from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising out of or related to:

  • Your use of or access to the service.
  • Your User Content or any data you upload, create, or share through the platform.
  • Your violation of these Terms or any applicable law or regulation.
  • Your violation of any third-party rights, including intellectual property or privacy rights.

12. Governing Law

These Terms shall be governed by and construed in accordance with the laws of India, without regard to its conflict-of-law provisions. The Information Technology Act, 2000 and rules framed thereunder shall also apply where relevant.

Any dispute, claim, or controversy arising out of or relating to these Terms or the breach, termination, enforcement, interpretation, or validity thereof shall be subject to the exclusive jurisdiction of the courts located in Pune, Maharashtra, India. You waive any objection to the laying of venue in Pune, Maharashtra.

13. Changes to Terms

We may update these Terms from time to time to reflect changes in our service, business, or applicable law. For material changes, we will provide at least 30 days' notice by email (to the address associated with your account) and/or by displaying a prominent notice within the platform.

Your continued use of VoyceBook after the effective date of any updated Terms constitutes your acceptance of the revised Terms. If you do not agree with a material change, you may cancel your account before the change takes effect.

For non-material changes (such as corrections, clarifications, or changes required by law), we may update the Terms immediately and note the revision date at the top of this page.
